Is Your Power BI Estate Ready for AI?

Ten governance foundations for trusted analytics, Fabric and AI

Power BI Sentinel reveals the estate. MIP helps govern and improve it, so organisations can move from fragmented analytics to trusted AI.

Many organisations are investing heavily in Microsoft Fabric, Copilot and AI-powered analytics while chasing faster insight, broader self-service and more value from existing data. But AI does not create trust by itself. An AI-generated answer is only as good as the data and business definitions behind it. If the underlying Power BI estate is fragmented or poorly governed, AI just makes those weaknesses easier to consume.

For most organisations, Power BI has become a primary source of business information, yet the estate often grows faster than anyone can see it. Hundreds of workspaces, reports and semantic models accumulate. Ownership blurs. The same metric gets calculated three different ways. Access is broader than intended. Some content is business-critical; some hasn’t been opened in months.

These issues aren’t new. AI just raises the stakes, because as Copilot and Fabric Data Agents let users ask a question and get an instant answer, they won’t know or ask which report, model or source sits behind it. AI can surface trusted information more easily, but it can just as easily surface security gaps, conflicting definitions and confidently wrong answers.

The question is no longer “Is our Power BI environment governed?” It’s “Is our data and analytics estate sufficiently governed to support AI?”

The answer starts with visibility. Power BI Sentinel gives organisations a detailed view of their estate: content, lineage, permissions, usage, ownership and change history, so they know where governance risk sits. But visibility alone isn’t governance; it also needs clear ownership, agreed definitions, sound security, reliable data and a workable operating model. The ten foundations below offer a practical way to assess readiness.

Common Warning Signs

  • No reliable inventory of reports, models, workspaces or owners
  • Multiple versions of the same KPI across teams
  • Users unsure which report or model is authoritative
  • Permissions broader than intended
  • Sensitive data in downstream reports without clear controls
  • Lineage hard to trace from source to report
  • Unused or replaced content still consuming capacity
  • No consistent certification or change-control process
  • AI use cases being discussed before trusted data products exist

The Ten Foundations

  1. Make the estate visible. You can’t govern what you can’t see. Power BI Sentinel provides continuous inventory of workspaces, models, owners and dependencies. The baseline for everything else.
  2. Reduce duplication and sprawl. Overlapping reports and inconsistent metrics are inefficient for people and worse for AI, which needs one correct source. Power BI Sentinel identifies the overlap; MIP supports you to rationalises, certifies and retires content.
  3. Build semantic models AI can understand. Fields like Rev_Act_YTD mean nothing to an AI assistant. Certified models need clear names, descriptions and consistent terminology treated as governed data products. Power BI Sentinel flags which models matter most; MIP uplifts them.
  4. Establish trusted business definitions. AI can’t resolve disagreement about what “revenue” means. If Copilot pulls from a model with an outdated definition, the answer may be technically correct and still wrong. Power BI Sentinel shows where definitions diverge; the organisation must agree which one is authoritative.
  5. Keep access appropriate. AI shouldn’t make restricted data easier to reach. Power BI Sentinel exposes excessive or unexpected permissions; MIP helps you design least-privilege access and workspace structures.
  6. Know where sensitive data is exposed. Power BI Sensitive fields travel into models, reports, exports and AI can infer and combine them faster than a dashboard ever could. Power BI Sentinel traces this exposure; classification and security design follow.
  7. Make every answer traceable. Users trust AI answers they can trace to an approved source. Power BI Sentinel maps the relationships between sources, models and reports; MIP extends this into a full provenance framework.
  8. Monitor freshness and reliability. A stale answer looks just as confident as a current one. Power BI Sentinel flags refresh failures and content health; governance should define what happens when data isn’t current.
  9. Test AI answers, not just reports. Traditional testing checks whether reports load correctly. AI testing must also check whether the right model was selected, the right filters applied and whether the system knows when to say “I don’t know.” Power BI Sentinel identifies which models matter most; MIP builds the assurance framework around them.
  10. Govern change continuously. Fabric estates change constantly, and AI adds new layers, descriptions, synonyms, agent instructions. Power BI Sentinel provides the change history and audit trail; MIP supports the wider lifecycle.

From Visibility to Trusted AI

AI won’t solve existing governance problems it will simply expose them. Organisations that invest in visibility, trusted models, consistent definitions and proper access controls will get real value from Copilot and Fabric. Those that don’t may find AI simply makes unreliable information easier to access.

Before deploying AI broadly, ask:

  • Do we know which models are authoritative?
  • Can we trace AI answers to approved sources?
  • Do we know who can access sensitive data?
  • Can we tell what’s actually trusted and used?
  • Have we treated critical models as governed data products?
  • Do we test and monitor AI answers over time?

If any answer is unclear, visibility and governance should be next. As Power BI Sentinel’s exclusive Australian partner, MIP helps organisations turn that visibility into action.

AI-ready analytics starts with an estate you can see, trust and govern.
